Operations Consultant – Commissioning and Procurement

Reports to: COO/Head of Grant Operations

Open to: Individual consultants or consulting firms with significant experience supporting organisations receiving and distributing public funding to strengthen processes and use of best practice.

Period: Start immediately, with aim to complete audit work by no later than August 2024.

Budget: YEF anticipates a budget of approximately £10,000 and typical day rates for consultants working for the charity range between £500-£650, depending on experience.

About the Youth Endowment Fund

The Youth Endowment Fund (YEF) is a charity with a £200m endowment and a mission that matters. We exist to prevent children and young people from becoming involved in violence. We do this by funding great initiatives, finding out what works and building a movement to put this knowledge into practice.

To make this possible, YEF funds a wide range of organisations aiming to prevent young people from becoming involved in violence. This ranges from delivery organisations providing front line services to young people who need it most, evaluators working with those organisations to understand what’s working, research organisations focused on helping us deeply understand the context and problem, organisations supporting us to put this knowledge into practice, and a variety of organisations supporting our team to execute in the most effective way possible. We have several departments commissioning this work to external organisations and a variety of different processes and mechanisms to do so.

As the volume of work we commission increases across our various departments, we’re looking for an experienced individual or team to support ensuring consistency, compliance with our policies and procedures, and training across a number of different teams on best practice.

Key activities  

· Conduct a thorough desk review on YEF policies and guidance, regarding our commissioning and grant management practices across our programmes, evaluation, research and change departments. Interview a subset of individuals to get a sense of their understanding and comfort with the policies. Produce a written report on how this is going, highlighting any areas where we could improve in consistency or best practice.

· Advise the delivery operations team on how they can best support teams to commission effectively, including helping to clarify roles and responsibilities and ongoing training or support needs for teams.

· If needed, suggest revisions to YEF policies, guidance or agreement templates to support greater efficiency, compliance or best practice.

· Conduct a series of trainings across our different departments to ensure staff responsible for commissioning understand YEF’s policies and best practices for distributing and managing the use of public funding.

· Create a set of public facing materials to help external organisations understand YEF policies and processes for applying for funding, as needed.

Deliverables

· Provide a written report on how YEF is doing adhering to its own policies, ensuring consistency in practice across different teams and adhering to best practice.

· Conduct 3-4 training workshops to different YEF teams, taking into account their own commissioning and grant management requirements.

· Conduct regular, informal advising sessions for a subset of individuals responsible for overseeing commissioning across the organisation.

· Produce a set of public facing guidance on YEF commissioning practice relevant for organisations navigating applications for funding.

· As needed, produce revisions to policy, internal guidance, or agreement templates.

Key requirements

· Must have significant experience of commissioning and procurement within an organisation of comparable size, preferably with organisations receiving and distributing public funding.  

· Experience and proven track record working to improve policies, processes and practices within an organisation.

· Experience of charitable grant-making or research work in the UK, either as a grantee, a grant-maker, or a grant evaluator or researcher.

· A strong understanding of UK government guidelines and legal terms and conditions related to grants and contracts for services. This does not mean you need a law degree, but you must be very comfortable understanding and working with a variety of different agreement mechanisms.

· The ability to understand, collate and synthesise complex sets of information and use them to make informed recommendations.

· Ability to work independently, seeking input from relevant team stakeholders throughout.

Desired experience

· Prior experience working with a What Works Centre or other evidence-focused organisation.

About You:

1. Proven experience in a leadership role within the non-profit sector, preferably in an international context.
2. Experience in overseeing programmatic and income generation activities, demonstrating the ability to integrate these functions effectively.
3. Proven experience in successfully raising funds from diverse income streams such as grants, donations, sponsorships, events, and partnerships.
4. Experience in managing diverse teams and complex projects across multiple countries and contexts.
5. Proven experience in change management and driving organisational development initiatives.
6. Proven financial management skills, including budgeting, forecasting, and reporting.

In this role, you’ll support the Longview team to effectively deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Key Information

Role: The Operations Analyst will support our operations, events, executive and grantmaking teams by managing our office, coordinating meetings, setting meeting agendas, and supporting other operations processes within Longview.

Location: London, UK (working full-time from Longview’s East London office). We may be able to sponsor a UK work visa for this position.

Starting Salary: c. £35,000-40,000 p.a. We may be able to offer a higher starting salary, depending on the successful candidate’s experience and skills.

Responsibilities

The Operations Analyst will support the Longview Philanthropy executive, grantmaking, operations, and events teams. Approximately 40% of their time will be spent on office management tasks and 60% on generalist-type operations tasks (depending on the successful candidate’s specific skills and professional development goals):

• Meeting preparation and coordination
  • Creating meeting agendas for senior staff (CEO, COO & Programme Leads) and sharing them ahead of time
  • Scheduling meetings between team members and external stakeholders
  • Organising our monthly all-team meetings
• Managing our London office
  • Keeping the office fridge stocked
  • Maintaining office inventory and equipment
  • Continuously improving our working environment
    • Including helping to scope for new offices, as required
  • Receiving and managing office guests
  • Liaising with our office provider (Fora)
• Remote office management
  • Assisting our remote staff with their local office spaces, including finding suitable offices and liaising with the providers
  • Assisting staff with equipment orders
• Collating materials from across the org to support the executive, grantmaking, events and operations teams
  • An example of this might be collating testimonials on our events for future invitations, or collating public and Longview-specific information on a potential or existing donor
• Supporting staff where needed with smaller tasks, examples might include ordering items for staff and registering for events on their behalf
• Administering and troubleshooting key shared systems, for example, 1Password, Asana, Slack, Calendly, Zoom, AirTable, and Notion
  • Moderating these platforms and enforcing communications and sharing norms
• Managing our general enquiries email inbox and triaging emails to ensure they receive an appropriate response
  • Logging general job applications in our database and responding as necessary

Possible duties, depending on the candidate:

• Helping administer hiring rounds
  • Communicating with candidates
  • Managing the candidate pipeline and applicant tracking system during the hiring process, as well as the logistics for work tests, trials and interviews
• Supporting our IT infrastructure
  • Updating the website
  • Conducting basic cybersecurity tasks
• Working with our Data Manager to keep our CRM up to date by tracking key interactions

The successful candidate will initially report to Katie Hearsum, COO, though management may eventually move to another member of the operations team, and ideally would be able to start in July 2024.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This

High Trees are a charity working across 5 thematic service delivery areas and teams (Education and Training, Employment and Careers, Children, Young People and Families, Community Action and Research and Sector Support). We are seeking a skilled Operations Administrator, providing general support across the organisation as a whole, but predominantly working with our Operations team and Co-CEOs to ensure that High Trees remains an effective organisation, able to make the most impact for our beneficiaries. The Access Foundation wants to fund projects and activities that make a real difference to people’s lives in the countries the Access group is active.To achieve our objectives, we are looking to appoint an experienced Operations Manager to help run and improve our operational processes.

Job objectives 

• Support the trustees in the due diligence and evaluation of each applicant and facilitate the decision-making process for each application 

• Support the ongoing evaluation process of all successful applicants and ensure agreed measures and outcomes are reported back to the Foundation in a timely manner 

• Manage the external communication of the Foundation’s successes back to stakeholders and supporters, as well as other channels on social media, such as Instagram and LinkedIn 

• Manage the communication with the Access Group and maintain an open channel of communication with the charities team at the Access group 

• Manage the Admin and Grants Assistant and ensure all Admin processes as well as operational processes are running smoothly and make changes where required 

• Manage the use of the accounting package Access Financials to ensure processes are followed and grantees paid on time.

• Oversee the data collation for and write the impact report

Duties and responsibilities will include 

• Write regular reports to the trustees of new applications, applications in progress and outcomes, inform and advise the trustees to achieve a swift decision on all cases 

• Organise the publicity and communications around each successful grant, including newsfeeds, social media and website updates. 

• Liase with the Access Marketing team to support their own comms

· Diary Management for the senior management team

· Minute taking and writing for Senior Management.

· Management of travel arrangements. Scheduling and tracking domestic and international travel itineraries within several time zones for senior management.

· Supervise the General Administration team to ensure completion of their tasks to a high standard before signing off on their work.

We’re looking for a part-time Senior Operations Manager with extensive operational, business, Health & Safety, IT and HR experience. Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. With a history of 137 years of supporting people of all ages in Rotherhithe and Bermondsey, we bring people together for mutual support, fun and friendship with a wide range of services and activities for older people and other adults, along with volunteering and children and families’ projects.

T&T has grown substantially over the last 5 years, and we are in an exciting time for the charity. We are reviewing our long-term aims and changing local needs to ensure  programme delivery continues our extensive track record of positive outcomes. We're looking for an enthusiastic and dynamic Operations Lead who will ensure the smooth running of CCX day-to-day operations. As lead of the Operations Team, you will oversee the finance, HR, coordination of data, IT applications and integration, and corporate governance functions.

The Gregory Centre for Church Multiplication (CCX) helps the Church make disciples in new and renewed ways. We work with willing partners across the Church to catalyse multiplication, equipping leaders through adaptive learning pathways.

CCX’s organisational structure is a hybrid management model, blending elements of both functional and project-based structures. Project teams are formed to address specific initiatives, tasks, or delivery projects. These teams are cross-functional, comprising individuals from different specialties, typically with a project manager working under the direction of a CCX lead. The two core teams of Operations and Media operate as shared services across the organisation.

Under the direction of the Bishop of Islington, a suffragan bishop of the London Diocese, CCX supports church planting and church growth work in London, nationally and beyond.
